Question from the Forums! Searching Specific Folders

“Would like to be able to limit a search to specific folders – for example, I may have several similar files in different folders, and I know the one I want is in a specific folder, so I only want the search to return the file that is in that folder.” 

Although we created the forums as a means for our users to help each other with our products, we do monitor them regularly. We might turn some of the busier questions into a Blog post or an answer in our Knowledge Base. 

The original question is a great one because it allows us to explore not only a specific folder search, but also the other refinement options you can use to narrow down your search results. First, we will take a look at the original question: searching a specific folder. In our scenario today, we are looking for a specific quote for a renewal. This results in 572 documents and 7 emails:  

Clicking on “System Folder” will allow you to Browse your computer for the desired folder.

Once you locate the correct folder, click on “Select Folder”

This narrows our search to 26 documents.

Since we’re looking for a specific renewal quote, we want to avoid opening all the search results. We can use the date Refinement to narrow our search further.

Searching for quotes created this month narrows the field further and brings us down to 5 documents. We know the document we seek is a PDF so we could narrow it even further by using the File Type refinement.

Another option is to use the @filefolder advanced category operator. Additional Advanced Category Operators can be found here. As you can see, we used the same refinements using both methods but did not use the search word “Renewal” for the Advanced version.

Our example above is only using refinements. Alternatively, you could use key words found in the quotes such as recipient, email address, dates, products, etc. to quickly isolate the document you are looking for.
